Description & Requirements

The Executive Business Support provides high-level administrative and operational support to the Chief Executive Officer of Forvis Mazars, as well as three CEO direct reports: the Chief Operating Officer (COO), Chief Talent Officer (CTO), and Chief Risk Officer (CRO).

This role functions as a trusted extension of the CEO's office, responsible for managing complex schedules, coordinating executive meetings and materials, and supporting the effective operation of the firm's senior leadership. The role requires strong judgment, a high degree of confidentiality and discretion, and the ability to operate independently in a fast-paced, highly visible environment.

What You Will Do:

Executive Support & Prioritization

  • Provide primary executive business support to the CEO and dedicated support to the COO, CTO, and CRO.
  • Manage complex and interdependent calendars, including prioritization, sequencing, and resolution of scheduling conflicts across multiple senior leaders.
  • Serve as a central point of coordination for the CEO's office, managing requests, inquiries, and follow-ups with appropriate judgment and escalation.

Meetings, Materials & Governance Support

  • Coordinate logistics and materials for Management Committee, Governing Board, and executive leadership meetings.
  • Prepare, organize, and maintain executive meeting materials, ensuring accuracy, completeness, and timeliness.
  • Support meeting effectiveness through tracking follow-ups and action items as needed.

Travel & Logistics

  • Arrange domestic and international travel for supported executives, including itineraries, accommodations, transportation, and expense reconciliation.
  • Coordinate logistics for virtual and in-person meetings, leadership offsites, and firmwide events.

Communication & Document Management

  • Draft, proofread, and format executive-level correspondence, presentations, and documents originating from the CEO's office.
  • Maintain organized and secure systems for executive documents, meeting materials, and confidential records.
  • Ensure consistency and quality across CEO-office communications and materials.

Judgment, Confidentiality & Firm Interaction

  • Handle sensitive and confidential information with discretion and professionalism.
  • Interact regularly with partners, managing directors, senior leaders, and external stakeholders on behalf of the CEO's office.
  • Manage competing priorities across multiple senior executives while maintaining alignment and clarity.

Additional Responsibilities

  • Support special projects and ad hoc requests from the CEO and supported executives.
  • Provide backup support within the Executive Business Support team as needed.
  • Availability to support executive needs outside standard business hours, as required.

Minimum Qualifications:

  • 7+ years of experience providing executive-level administrative or business support in a complex, fast-paced environment, including support of C-suite or equivalent senior leaders.
  • Demonstrated ability to manage multiple priorities and complex demands, with strong organizational, prioritization, attention to detail, and follow-through skills.
  • Proven experience handling complex travel scheduling, with the ability to anticipate executive needs.
  • Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel).
  • Excellent written and verbal communication skills, with executive presence, professionalism, and a strong service-oriented partnership mindset.
  • Consistently exercises sound judgment and discretion when handling sensitive and confidential matters.
  • Ability to travel up to 15% to Governing Board, Management Committee, and other firm meetings.

Preferred Qualifications:

  • Experience supporting a CEO and multiple senior executives concurrently.
  • Experience coordinating board-level or governing body meetings, including preparation of materials.
  • Comfortable operating with limited direction while maintaining accountability for outcomes.
